The problem

Departments wanted AI working on real company data — CRM, finance, mail, documents.

Unchecked model access to production systems and outbound email was not acceptable. It had to be useful and safe by construction.

What we built

  1. 01

    Isolated per department

    Each department runs as a separate system user with its own knowledge base and file scope, behind a portal with a role × department access matrix.

  2. 02

    Gated actions

    One policy hook checks every tool call. Mail is written as drafts until a person approves the send, and databases are reachable read-only.

  3. 03

    Scheduled operations work

    Morning operations digests, recordings turned into formal meeting minutes, persistent reminders, document generation and an accounting connector.

What runs now

We run it in production for staff.

CI runs an access-control test harness before every deploy; production deploys need a manual gate and can roll back.
